Scheduling Coordinator

We are looking for a client liaison and scheduling person for our educational center in Westport, CT.

Looking for a challenge in the next phase of your career?

We've got the challenge--er, the job for you, if you like the following: working with teenagers, working with computers, moving quickly--really, really quickly, to enter data, manage schedules, manage expectations, check your mail 200 times a day, and keep detailed calendars.

If you nodded thoughtfully to yourself as you read the above, we've got the job for you.

We are looking for a client liaison and scheduling person for our educational center in Westport, CT. We aren’t kidding when we say that the job is challenging. It involves a huge amount of customer service, and because it's always all hands on deck, you'll learn a lot about running a small business. You need to be detailed-oriented and possess god-like memory and Mac skills. You will be required to regurgitate hundreds of names, dates, and details on command, on a daily basis--not on the first day, of course, but you won't have a lot of time to "settle in." You also need to be fast and efficient: we receive between 200 to 400 emails a day, and you'll be in charge of scheduling 300 tutoring sessions a week. Your day will never be slow or boring.

We are looking for an individual with the following characteristics:

  • You must have an exceptional memory system and be able to remember hundreds of names, dates and details.

  • You must be customer service oriented and able to communicate well with demanding clients.

  • You must have strong organizational skills, be able to juggle 15-20 schedules from memory.

  • You MUST have strong computer and technology skills and be adept at email and scheduling programs.

  • You must be able to handle a high volume work environment, performing literally a task a minute by email, phone and in person.

  • You must be flexible and willing to work as a team. You must ask questions. We repeat: You must ask questions.

All of these skills are necessary and will be assessed through the interview process. We would prefer someone who has experience working in a high volume environment. This job is not for someone who likes downtime during his or her day. Our educational center is a vibrant, youthful, informal, and often gloriously chaotic environment that makes working a pleasure. . . on most days.

This is a full-time job, and the working hours are generally Monday-Friday 8:30am to 5pm at our center in Westport, CT. Priority will be given to candidates who are able to be flexible around start and end times.

If you are interested, please send a cover letter and a résumé detailing your educational and employment background, as well as references. Experience in medical scheduling or a comparable high-volume scheduling position is preferred.
